Room Parents

Thank you for volunteering to be a room parent for your child’s classroom!  You will be working with your child’s teacher throughout the school year and helping them coordinate classroom activities, classroom supply donations and other needs as they arise.  Your level of activity varies with each teacher and grade level. Room parents are also responsible for helping the PTA in providing parent volunteers for the various activities during the school year.  Your position involves a high level of creating and forwarding emails from the Teacher and/or PTA to the classroom parents, so you should be very comfortable maintaining group email lists and checking your email on a regular basis.
 

 Room Parents Responsibilities:

  • Be an active member of the PTA. Basic PTA Memberships are $10.00.
  • Have a current TB Test on file with the Nurse.
  • Attend the PTA Meetings throughout the school year.
  • Schedule a meeting with your child’s teacher and discuss their plans for the year and how you can assist them.
  • Send out the “Contact Information Request Form” to the classroom parents to let them know who you are, collect their contact information, as well as who is interested in helping.
  • Create a file with the parents contact information and an email group list for the classroom.
  • Create flyers and emails for the various classroom activities. Build friendly relationships among the parents from the classroom, making them feel welcome and help to develop a “team effort” to foster communication.
  • Forward on emails from the Teacher and/or PTA to the classroom parents.
  • Collect donations for the various events through the year.
  • Keep track of your Volunteer Hours on the MoffettPTA.org website, as needed, (Location: Volunteer Information - Header Box / "Your Volunteer Hours Count").  This information will be given to the Historian.

Please remember to sign in at the front office whenever you are on campus and sign out when you leave.


Please also keep in mind the following guidelines…

Correspondence with the Classroom Parents:

     IMPORTANT: When sending out emails please Blind Carbon Copy (BCC) the parents on the group list, to insure privacy of the parent’s email address.     

    • When sending out correspondences please try to keep them simple and too the point.
    • Please make every effort to include all the students and their parents.  If you do not have email addresses for every parent, please print up a hard copy for those parents to distribute in class.
    • Please check your emails on a regular basis in an effort to forward on emails from the Teacher and/or PTA to your classroom parents in a timely manner.

Teacher Gifts / Donations:

    • It is school policy that room parents make it clear to parents that financial contributions are strictly OPTIONAL.  Please note this in your flyers.  Please refrain from asking for a specific dollar amount for a donation.  Some examples of Teacher gifts might include - the Teacher’s Birthday, Winter Holiday Break, Teacher Appreciation Week, End of the Year gift, etc.
    • You can only collect money or donations for an event two weeks or so prior to the event.  Please have the parents mark the envelopes with your Name and Classroom Information, in case they get misplaced. 
    • Teacher should not be responsible for collecting money.  Please make time to be available to collect the donations before and/or after school.  Money can be turned into the office after school, but please notify Charlene in advance by giving her a copy of your flyer and an envelope to collect the donations in.  Please remember to come back and collect your envelope.
    • There will be several opportunities throughout the school year that the parents can choose to donate… some parents will donate to everything and some will not, and/or they may provide a gift directly to the teacher.  As a room parent, when you coordinate any gifts from the class, the gift is considered a class gift, regardless of who has donated.

Classroom Activities:

    • As a room parent, you will help the teacher plan the classroom activities and/or celebrations.
    • No more than 3 activities per year. (ie. Winter, Valentines, and End of the Year)
    • You can send a note home asking for snacks and/or supplies to be donated. If you are creating a Flyer for the Classroom Activity please have the Teacher review and approve it before sending out emails and/or hard copies to the class.
    • Per district policy, all donated refreshments must be store bought.
    • Please keep the activities relatively low key and make sure there are healthy food options for the children.
    • NEW FIRE CODE: Decorations must be knee high to arm’s reach with nothing placed just under or touching the ceiling. You may use borders, but no backing paper, staples and masking tape, but no double-sided, stickie tape (this will avoid pulling paint off the walls).

Birthday Treat Policy:

    • Birthday treats will NO longer be allowed to be distributed at school.
    • Teachers will recognize students and their birthdays.  Each student will receive a birthday pencil and book mark.
    •  Please also note that invitations to private, after-school parties may not be distributed in our classrooms unless there is an invitation for each child in the room.
    • Advise your parents that they can donated to the Teacher's Prize Boxes as a way to acknowledge their child's birthday

 

Fall Festival 

    • The Fall Festival is a fundraiser held in October.  Each class is asked to donate a theme basket for the raffle to be held at the event, and provide parent volunteers for the game booths.
    • As a room parent, you will help is critical in devising a theme and coordinate donations for the raffle gift basket.  Your goal is to create a basket that has a minimum value of $50.00.  You will also need to include a description of what is in the basket.
    • Your assistance will also be needed to help coordinate the parent volunteers for your classroom’s game booth

Teacher Appreciation Week

    • Teacher Appreciation Week is a chance for students and parents to show their appreciation to their teachers. Be sure to meet with your teacher prior to this week to find out their personal and classroom needs and plan reasonable events that don’t overwhelm parents.
    • Our students and teachers benefit tremendously from your time and efforts in this position. We can not say enough how valuable your position is and how thankful we are that you have volunteered to be a room parent for your child’s classroom!!! 
 Counting Donations

If you receive money (i.e. Class gifts, Fall Festival, etc.), it is EXTREMELY important to follow these procedures that are required by the California State PTA Financial Procedures Manual.

  1.  All money must be double-counted by two individuals who are PTA members and not related. 

  2. Money totals should be documented using the “Room Parent Donation Accounting Sheet” and signed by both individuals counting the money.

  3. List all donations that you receive for the event. Ie. Cash, checks, donated items, etc.

  4. List all items that you purchase for the event.

  5. Attach all the receipts to this completed form and turn in to the Moffett PTA Box in the Front Office.
